What is a POS system?

POS stands for point of sale — the exact moment a customer pays you. A POS system is the hardware and software that runs that moment: it rings up the sale, takes the payment, prints or emails the receipt, updates your inventory, and drops the money in your bank.

What's actually in the box

A modern point-of-sale setup is a small stack of purpose-built pieces. Here’s what each one does.

Terminal / touchscreen

The main screen your staff taps. Runs the POS software. Examples: Clover Station Duo, Clover Mini.

Card reader

Accepts chip (EMV), tap (NFC), swipe, and mobile wallets. Sometimes built into the terminal, sometimes a separate pinpad.

Receipt printer

Thermal printer for paper receipts. Kitchens use a second impact printer for tickets.

Cash drawer

Pops open on cash sales. Wired to the printer or terminal so only authorized transactions trigger it.

Barcode scanner

Retail and grocery. Some POS tablets (like Clover Solo) have a scanner built into the screen.

The software

The brain. Menus, inventory, employees, tips, discounts, reports — running on the terminal and synced to the cloud.

What happens when a customer pays

The tap-to-approved dance takes about two seconds. Here’s what’s actually happening.

Ring it up

Staff taps items on the terminal. The POS calculates subtotal, tax, and any discount.

Present + tap

Customer taps, dips, or swipes. The reader encrypts the card data immediately.

Authorize

Encrypted data travels to your processor, to Visa/Mastercard, to the bank for a yes/no.

Settle

Approved sales batch overnight. Funds land in your bank account, typically next business day.

Jargon, decoded

POS terms you'll actually hear

Merchant account

The bank account where card sales get deposited. Set up by your processor.

Processor

The company that moves the money from your customer’s bank to yours (e.g. Paysafe, North). We handle this for you.

Gateway

Software layer that securely routes payment data — required for online / keyed-in sales. Authorize.net and NMI are the two big ones.

EMV

Chip cards. The little square of gold on every modern card. Required to shift fraud liability away from you.

NFC / contactless

Tap-to-pay. Apple Pay, Google Pay, tap-enabled cards.

Interchange

The base fee Visa/Mastercard charge on every card. A big chunk of your processing rate — the rest is your processor’s markup.

PCI compliance

The security standard for handling card data. Modern POS terminals handle most of it for you via encryption.

Batching / settlement

The daily process of sending approved sales to the bank for deposit. Usually happens automatically overnight.

How to choose a POS system

Six questions worth asking any POS rep before you sign. If they can’t answer plainly, keep shopping.

What's my all-in processing rate — including interchange, assessments, and your markup?
Am I locked into your processor forever, or can I keep the hardware if I switch?
Are there monthly fees for the terminal, software, gateway, PCI, or statements?
How fast does money land in my bank — and does that change on weekends?
What happens at 8pm on a Saturday when the terminal goes down?
Does this system grow with me — can I add a KDS, second terminal, or online ordering later?

Is a modern POS secure?

Yes — when it’s set up right. Certified POS terminals (Clover, Valor, and the like) encrypt card data the instant it’s read, so the raw card number never touches your network. That’s called point-to-point encryption.

Cards are also tokenized before storage, so a saved card on file is a meaningless string of characters to anyone but the processor. Combined with EMV chip and tap-to-pay, this is why fraud liability sits with the card brand instead of you.

Quick answers

Point of sale — the moment and place a customer completes a purchase. The POS system is the hardware and software that handles that moment.

A cash register just totals sales and stores cash. A POS system does that plus card payments, inventory, staff management, reporting, loyalty, online ordering, and more.

For most modern POS you do — cloud sync, reporting, and card auth all run over the internet. Systems like Clover include offline mode for short outages and can fall back to 4G LTE.

It varies. Hardware can be free with a qualified merchant account, or a few hundred dollars outright. Software and processing fees are where the ongoing cost lives — get a full quote (interchange + markup + monthly fees) before signing.

Not always. Some POS brands are locked to specific processors. Clover, for example, can be reprogrammed to different processors, which is why we can quote a better rate on hardware you may already own.

A payment terminal just runs the card. A POS system runs the card AND the business — items, staff, inventory, reports. Some countertop terminals (like Valor VP550) blur the line with basic POS features built in.
